Manual invoice entry is a classic example of work nobody likes but everybody does. A hundred invoices a month easily means two to three working days of retyping. AI does it in minutes today.
How it works
- Intake: invoices arrive in a dedicated mailbox or folder.
- Reading: OCR turns scans into text, and an AI model understands the invoice structure regardless of layout.
- Extraction: supplier, tax ID, invoice number, dates, line items, amounts, VAT, due date.
- Validation: do the line items add up, is the supplier known, is it a duplicate.
- Entry: data goes into your ERP or accounting software via API or export.
- Exceptions: anything uncertain goes to a person for review, with fields highlighted.
Why AI and not classic OCR templates
Classic tools need a template for each supplier. AI understands an invoice like a person does, so it works with new suppliers and different languages without extra setup.
What it saves
Example: 400 invoices a month at 4 minutes each is about 27 hours. With automation, a person reviews only exceptions, leaving 3 to 6 hours. That is over 80% of the time saved, and copy errors disappear. Calculate your numbers with the AI ROI calculator.
Integrations
We connect to local and international ERP and accounting systems via API, and where there is no API, via structured export or automated entry.
Security
Invoices contain business data, so we use business AI APIs that do not train models on your data, or a local model when required.

Frequently asked questions
How accurate is AI at reading invoices?
On good quality PDFs accuracy is very high. With poor scans the system flags low-confidence fields for human review, so errors do not slip through.
Does it work with e-invoices?
Structured e-invoices are read directly without OCR. AI is most useful for PDF and paper invoices from foreign and smaller suppliers.
