n8n, Make, Zapier or a custom integration: what to choose for automation

When a company starts automating, the first question is the tool. The answer depends on volume, complexity and where data is allowed to live.

Zapier

The easiest to start with and the most ready-made connectors. Great for simple flows ("a new form submission goes to the CRM and Slack"). Downsides: cost grows quickly with run count, and data passes through a US service.

Make

More visual and more flexible than Zapier for complex flows with branching, at a lower price per operation. Good for marketing and operations teams.

n8n

Open source and can run on your own server. Supports complex logic, code inside flows and AI agents. Our frequent choice for companies that care about privacy and predictable cost. Intrascope also integrates with n8n.

Custom integration

When a process is critical, volume is high or logic is complex, code beats a visual tool: easier to test, version and monitor. Many of our automations are hybrids: n8n for orchestration, custom services for the heavy parts.

How we choose

Situation Recommendation
A few simple flows Zapier or Make
Many flows, sensitive data Self-hosted n8n
Critical process, high volume Custom integration
AI agents with tools n8n or code, with permission control

Conclusion

The tool matters less than a well-mapped process. Start from the problem, not the tool. We help you choose through business process improvement and AI automation.

Frequently asked questions

Is n8n free?

n8n can be self-hosted without a license for most uses, and there is also a paid cloud version. The cost is then mostly the server and maintenance.

When is a custom integration better?

When the process is critical, with large data volumes, complex logic or strict security requirements.
