Screen sharing not working: fix for Zoom, Teams and Meet

Medium 10 min Updated:

Quick answer

If screen sharing is not working, the problem is usually system permissions, an outdated browser or the wrong window selection. First check whether the app has screen recording permission, then update the software and restart sharing. In most cases the solution is in the first few steps.

How to recognize the problem

  • The share screen button is grayed out or unresponsive
  • A black screen appears instead of the content
  • Sharing starts but participants see nothing
  • The browser asks for permission but it is not remembered
  • The app freezes when starting sharing

Most common causes

Missing system permissions

macOS can block access to screen recording if permission is not given to the app or browser; on Windows this is most often done by security software or group policies.

Outdated app or browser version

Older versions of Zoom, Teams or browsers can have screen sharing issues due to security changes.

Wrong content selected for sharing

Sharing the entire screen instead of a window or tab can lead to a black screen or the wrong content being displayed.

Conflict with other apps

Some recording apps, VPNs or security software can interfere with screen sharing.

Hardware acceleration

Sometimes graphics drivers or hardware acceleration in the browser cause sharing problems.

Step-by-step fix

  1. 1

    Check screen recording permissions

On Windows 11 open Settings > Privacy & security > App permissions and check whether the necessary permissions are enabled for the app or browser. Windows usually does not ask for a special screen recording permission like macOS, but sharing can be blocked by security software or group policy. On macOS open System Settings > Privacy & Security > Screen Recording and turn on the switch next to the app. If you recently updated the system, the permission may have been reset; after changing it, restart the app.

  2. 2

    Update the app or browser

In Zoom click your profile picture in the top right corner and select Check for Updates. In Teams click the three dots next to your profile and go to Settings > About Teams, then check if an update is available. For Meet use the latest version of Chrome or Edge: in Chrome open the three-dot menu > Help > About Google Chrome.

  3. 3

Choose the right content to share

When you start sharing, choose the option for a window or tab instead of the entire screen. Sharing the entire screen often shows a black screen if content protection is enabled. In Zoom and Teams, enable the option to share computer audio if needed.

  4. 4

    Restart the app and browser

Close all instances of the app (including in the system tray) and open it again. If you use Meet, close all tabs and restart the browser. Sometimes refreshing the meeting page is enough.

  5. 5

    Disable hardware acceleration

In Chrome go to Settings > System and turn off the hardware acceleration option (Use hardware acceleration when available or similar). In Edge the same: Settings > System and performance. Then restart the browser and try sharing again.

  6. 6

Check for conflicts with other apps

Temporarily disable VPN, screen recording apps (e.g. OBS) and antivirus software. Then try sharing again. If it works, add an exception for the app in the antivirus program. Do not leave antivirus turned off; turn it back on immediately after the test. After the test, re-enable VPN and antivirus.

  7. 7

Check sharing settings and browser cache

In Zoom under Settings > Share Screen check that sharing is not restricted. In Teams the screen or window selection is made when starting sharing, so check that the right content is selected. In Meet there is no special reset, but you can clear the browser cache.

  8. 8

    Check the graphics driver

Update the graphics card driver via the manufacturer's website or Windows Update > Advanced options > Optional updates. On macOS install the latest system update.

If nothing helps

If screen sharing still does not work, try starting the meeting from another browser or install the latest version of the app. As a last resort, use another computer or mobile phone for sharing. For business users, check whether the IT department has network-level restrictions (e.g. blocked ports or firewall rules) that could affect sharing. In some apps you can join the meeting from another device and share the screen from there.

How to prevent it

  • Regularly update apps and browsers
  • Allow screen recording for the apps you use
  • Avoid sharing the entire screen when possible
  • Check permissions after major system updates

FAQ

Why is screen sharing grayed out in Zoom?

Most often because the meeting host has not allowed sharing or, on macOS, the app has lost screen recording permission. Check the meeting settings and system permissions.

How can I share only one window instead of the entire screen?

When you click `Share Screen`, choose the option for a window or tab instead of the entire screen. This reduces the risk of a black screen and protects privacy.

Screen sharing works in Chrome but not in Edge, what should I do?

Check whether Edge is updated and has the necessary system permissions (on macOS, screen recording permission). Sometimes you need to disable hardware acceleration in Edge.
