Quick answer
Outlook rules let you automatically move, flag or delete messages based on sender, subject or other criteria. Rules are set up in a few steps and then work in the background, keeping your inbox free of clutter.
How to recognize the problem
- Inbox is overflowing with messages from different sources
- Important messages get lost among newsletters and notifications
- Manual sorting takes too much time
- Messages from a specific sender keep arriving in the main inbox
- You want to automatically archive old messages
Most common causes
Lack of organization
Without rules, all messages arrive in one folder, which makes it hard to find your way around.
Too many subscriptions
Newsletters, notifications and automated messages quickly flood the inbox.
Manual moving
Manual sorting is slow and prone to errors, especially with a large number of messages.
Unfamiliarity with options
Many users do not know that Outlook has powerful automation tools.

Advanced tips for rules
If rules are not working as expected, check whether they are turned on and whether the conditions are well defined. You can create multiple rules and arrange them by priority in the Rules and Alerts dialog using the Move Up and Move Down buttons. For complex scenarios, use rules with multiple conditions and actions. Also, consider using folders and subfolders for better organization. Review rules regularly and update them when your needs change. Keep in mind that rules for POP3 and IMAP accounts only work when Outlook is running, while for Exchange and Microsoft 365 accounts rules are usually executed on the server.
How to prevent it
- Review and update rules regularly
- Use descriptive rule names
- Test rules after creating them
- Limit the number of rules to avoid conflicts

Do rules work when Outlook is closed?
If you use an Exchange or Microsoft 365 account, rules are usually executed on the server, so they work even when Outlook is closed. For POP3 or IMAP accounts, rules only work when Outlook is running.
How do I edit or delete a rule?
Open `Rules` > `Manage Rules & Alerts`, select the rule and click `Change Rule` or `Delete`. Do not forget to save the changes.
Why is my rule not working?
Check whether the rule is turned on, whether the conditions are correct and whether there are conflicts with other rules. Also, check whether the message has already been processed by another rule.
