Shared mailbox not showing in Outlook: how to add it

Medium 15 min Updated:

Quick answer

A shared mailbox most often does not appear because Outlook has not yet refreshed the mailbox list, because automapping is disabled, or because your license does not include a mailbox. First check whether the mailbox exists in Outlook on the web, then remove and re-add the account or add the mailbox manually via Account Settings.

How to recognize the problem

  • Shared mailbox does not appear in the left pane of Outlook
  • Mailbox is visible in Outlook on the web but not in the desktop app
  • A message saying the folder is unavailable appears instead of content
  • Mailbox appears then disappears after restarting Outlook
  • A new employee does not see the team mailbox even though access was approved

Most common causes

Permission was granted but Outlook has not picked it up yet

Permission changes on the server sometimes reach Outlook only after several hours or after restarting the app.

Automapping is disabled

If automapping was disabled when the permission was assigned, the mailbox will not appear automatically and must be added manually.

License does not include a shared mailbox

The account must have an Exchange Online license with a mailbox. An account without a mailbox or with only a Teams license cannot open a shared mailbox in Outlook.

Corrupted profile cache or outdated profile

Leftovers from an old profile and cache files can prevent the new folder from appearing in desktop Outlook.

Wrong mailbox type

A shared mailbox is not the same as a Microsoft 365 group or a distribution list, so it is added in a different way.

Step-by-step fix

  1. 1

Check access in Outlook on the web

Open outlook.office.com in a browser and sign in with your account. If the shared mailbox appears in the left pane, the problem is with desktop Outlook. If it does not appear there either, the permission was probably not assigned or was assigned to the wrong person.

  2. 2

    Wait and restart Outlook

Close Outlook completely, then open it again. A new permission often takes effect only after 15 to 60 minutes. If you have multiple accounts in Outlook, check that you are signed in with the account that has access.

  3. 3

    Remove and re-add the account

In classic Outlook, go to File > Account Settings > Account Settings, select your account and click Remove, then add it again via Add Account. This refreshes the configuration and Outlook pulls the list of shared mailboxes again. Warning: removing the account deletes the local cache and unfinished items, so wait for everything to sync and make a backup if needed beforehand.

  4. 4

    Add the mailbox manually

In classic Outlook, go to File > Account Settings > Account Settings, double-click your account (or click Change) and click More Settings. Open the Advanced tab and click Add, then enter the name or address of the shared mailbox. Confirm with OK and restart Outlook.

  5. 5

    Check the license and permission

If you have administrative access, in the Microsoft 365 admin center check whether the account has an Exchange Online license, and in the Exchange admin center check whether the user is listed in the shared mailbox permissions. Access usually requires the Full Access permission, and to send on behalf of the mailbox also Send As.

  6. 6

Open the mailbox as an additional account

As a temporary check, in classic Outlook go to File > Add Account and enter the address of the shared mailbox. A shared mailbox usually does not have its own password that you know, so if the system asks for a password, cancel and contact your administrator. This is not the recommended way for permanent access.

  7. 7

Clear the cache or create a new profile

Close Outlook, then in Control Panel > Mail (Microsoft Outlook) > Show Profiles (classic Outlook) create a new profile and add the account to it. If the mailbox appears in the new profile, the old profile is corrupted. Do not delete the old profile until you have verified that all data is synchronized.

If nothing helps

Ask your administrator to check whether the shared mailbox was created at all and whether the permission was assigned to your address, not to a group or a former employee. The administrator can also check whether automapping is enabled, usually via Exchange Online PowerShell; if it is not, the mailbox is added manually or the permission is reassigned with mapping enabled.

In larger organizations, help can also come from checking the Microsoft 365 admin center under Users > Active users, where the license status is visible. If the mailbox is visible on the web but not in desktop Outlook, the problem is almost always the local profile or cache, not the server.

How to prevent it

  • After assigning access, restart Outlook and wait for synchronization to finish
  • Use Outlook on the web to check whether the problem is with the account or the app
  • Regularly install updates for Microsoft 365 apps
  • For shared access, use a shared mailbox, not sharing the password of one account

When to call a professional

If the mailbox does not appear in Outlook on the web either, or if you do not have administrative access to check licenses and permissions, contact IT support. They can check the permission assignment and automapping without the risk of breaking your existing profile.

FAQ

Why does the shared mailbox appear on my phone but not in Outlook on my computer?

The phone and computer use different profiles and caches. If the mailbox appears in the mobile app or on the web, the permission exists, so the problem is most likely the local Outlook profile on the computer.

How long does it take for the shared mailbox to appear?

Usually a few minutes to an hour after the permission is assigned. If it does not appear even after restarting Outlook, check whether the permission was assigned and whether automapping is enabled.

Can I add the shared mailbox myself if I do not have administrative rights?

You can add it in classic Outlook through `File > Account Settings > Account Settings`, then `Change > More Settings > Advanced > Add`, but only if access has already been approved for you. If adding fails, the permission must be checked by an administrator.
