Outlook search not working: how to restart it

Medium 20 min Updated:

Quick answer

When Outlook search doesn't work, the most common culprit is the Windows Search index or a corrupted local cache. First check if indexing is enabled and if Outlook is included in the index, then rebuild the index or cache. If that doesn't help, run the Office repair tool or recreate the profile.

How to recognize the problem

  • Search returns an empty list or a message that no results were found
  • Results are incomplete, newer messages are missing
  • Search works on the web but not in the Outlook app
  • Error message that search is currently unavailable
  • Results appear only after a few minutes

Most common causes

Search index is not up to date

Windows index does not process new messages on time, so Outlook shows old or no results.

Outlook is not included in indexing

If the Outlook data location is excluded in indexing options, search cannot find messages.

Corrupted local cache

A faulty OST file or search cache causes search to work incorrectly or get stuck.

Faulty Office installation

Corrupted Outlook components or the Windows Search service interrupt indexing and search.

Search rules and filters

An active filter or wrong scope (for example, current folder only) hides results.

Step-by-step fix

  1. 1

    Check the search scope

In the search box, check if All Items or Current Mailbox is selected. Click the arrow next to the box and remove filters such as Unread or Has Attachments. Try searching with a single word without quotes.

  2. 2

    Include Outlook in indexing

Open Indexing Options in Windows (in Windows 11: Settings > Privacy & security > Searching Windows, then Advanced indexing options) and click Modify. In the list of locations, check if the Outlook data item is included. If not, check it and save changes.

  3. 3

    Rebuild the Windows index

In the same window, click Advanced, then Rebuild. Confirm and wait for indexing to finish, which may take a while. This action does not delete messages but may temporarily slow down the computer. Leave Outlook open during this process.

  4. 4

    Check indexing status in Outlook

In classic Outlook, open File > Options > Search and click Indexing Options. Check the indexing status. If it says it's in progress or paused, wait or restart it.

  5. 5

Reset the search cache if the index is stuck

If the indexing status stays on In progress for a long time, close Outlook, open Indexing Options, click Advanced, then Rebuild. This resets the search cache and does not delete messages. Do not rename or delete .ost files, as they are not the search cache and may contain local data. Reopen Outlook and wait for the index to be built.

  6. 6

    Run the Office repair tool

Open Settings > Apps > Installed apps, find Microsoft 365 or Office and select Modify. Then choose Quick Repair. If the problem persists, repeat with Online Repair, noting that it takes longer.

  7. 7

    Recreate the Outlook profile

In classic Outlook, open Control Panel > Mail > Show Profiles > Add and create a new profile with the same account. Set it as default and start Outlook. This is safe, but the old profile and cache remain saved. Do not delete the old profile until you verify the new one works. This step applies to classic Outlook.

  8. 8

    Check the Windows Search service

Open services.msc, find Windows Search and check if it is running and set to Automatic or Automatic (Delayed Start). If it is not running or is disabled, set it to Automatic, start it and restart the computer.

If nothing helps

When search still doesn't work, check if the problem is only in one account or in all of Outlook. Open Outlook on the web and search for the same message: if you find it there, the problem is local. In that case, create a new Windows user profile and set up Outlook there, which often resolves a stuck index. If it's a business account with Exchange or Microsoft 365, the administrator can check if server-side search is disabled or restricted by policy. Do not delete the OST file if it contains items not synchronized with the server.

How to prevent it

  • Regularly install Windows and Office updates
  • Do not disable the Windows Search service
  • Keep the mailbox below the recommended size and archive old messages
  • Occasionally check the indexing status in Outlook

FAQ

Why doesn't Outlook search find new messages?

Most often because the Windows index hasn't processed new items yet. Wait a few minutes or manually start rebuilding the index in indexing options.

Is it safe to delete the search cache?

It's safest not to delete `.ost` files. The search cache is reset by rebuilding the Windows index, and if you change files, rename them to `.bak` so you can restore them.

Does search work on the web but not in the app?

If it works on the web, the problem is local: index, cache or profile. Then the steps with rebuilding the index and a new profile are most useful.
